Track mileage, expenses and taxes where you invoice

Most freelancers run their business across three or four disconnected tools: an invoice app for billing, a mileage app on their phone, a spreadsheet for expenses, and a shoebox of receipts that gets sorted in a panic every spring. InvoiceFast folds all of that into one place. The same app that sends your invoices now detects your business drives, reads your receipts with AI, classifies your bank statement, and builds a tax-time summary as you go. Mileage, trips, receipts and expenses work for freelancers anywhere in the world; bank classification and T2125 generation are built specifically for Canadians.

Tax-advice note: This page describes InvoiceFast's record-keeping features in general terms. It is not tax advice. Tax rules vary by country and change over time — verify details with your tax authority, and have an accountant review your return before filing.

Why tax tracking belongs in your invoice app

Your invoices are already half of your tax picture — they're your income record. The other half is deductions: the kilometres you drove to clients, the software you bought, the supplies, the phone bill, the home office. When deductions live in a different app (or nowhere), the two halves only meet once a year, painfully. Keeping both in InvoiceFast means your records stay reconciled all year, and tax season becomes an export instead of a project.

Auto-Mileage Tracking

Turn it on once and drive. On iOS and Android, InvoiceFast detects when a trip starts and ends using your phone's motion and location signals, then logs the date, start and end time, start and end locations, and distance. It records trip endpoints — not your full route. Trips keep logging even when the app is closed.

Each detected trip lands in your trip list for review: swipe it into business or personal, or set time-of-day rules ("weekdays 8–4 = business") that classify trips automatically. If tracking was interrupted — a dead battery, an aggressive battery-saver — the app flags possible missed trips so you can fill the gap instead of losing the deduction. Auto-tracking is mobile-only; on the web you log trips manually.

Trip Logging & Mileage Export

Not every trip needs a sensor. Manual logging is built for speed: one tap recalls your last route, a round-trip toggle doubles the distance, and you can switch between kilometres and miles. Add a purpose and a client or job, and the entry is done in seconds.

Every trip — detected or manual — builds toward a clean, dated mileage log with locations, distances, purposes and classifications: the substance tax authorities expect when you claim vehicle expenses. With Pro + Tax you can export your vehicle summary and mileage records as PDF or CSV for your accountant.

AI Receipt Scanning

Snap a photo, pick images from your library, or upload a PDF — from your phone or by drag-and-drop on desktop. AI reads the receipt and fills in the vendor, date, total, and sales tax (including GST and HST amounts for Canadian receipts), then suggests an expense category with a confidence score.

Nothing goes into your totals unverified: each scanned receipt is created as a draft you review and confirm, so your records stay yours. Frequent vendors and categories surface as one-tap chips, so the tenth coffee-shop receipt is faster than the first.

Expense Tracking

Every business expense in one place — scanned, imported, or typed in. Each expense carries a category and a business-use percentage, so mixed personal/business costs are prorated honestly instead of guessed at year-end. Your tax hub shows running yearly totals, how much of your free allowance you've used, and an estimate of the income tax your deductions are saving you.

Vehicle and home-office costs get their own dedicated summaries: enter odometer readings and the app works out your business-use share of vehicle expenses; enter rent, utilities, insurance and maintenance and it applies your home-office percentage.

Bank Expense Classification 🇨🇦 Canada

The fastest way to catch every deduction is to start from your bank statement. Upload a CSV — with built-in presets for RBC, TD, Scotiabank, BMO, CIBC and Tangerine, plus a column mapper for any other bank — or upload a PDF statement and AI extracts the expense rows for you. Your column mapping is saved, so next month's import is one click.

AI then classifies each transaction into the right CRA T2125 expense category — advertising, office expenses, professional fees, meals at the 50% rule, and the rest. Everything arrives as drafts in a review screen where you verify, edit or exclude rows before they touch your totals. This is a statement upload, not a live bank connection — InvoiceFast never has access to your bank account.

T2125 Form Generation 🇨🇦 Canada

All year, your verified expenses and classified trips roll up into a live T2125 view organized by real CRA line numbers — advertising (8521), meals and entertainment (8523), office expenses (8810), motor vehicle expenses (9281), business-use-of-home (9945), and the other Part 4 lines — plus a GST/HST input tax credit section that applies your business-use percentages and the 50% meals ITC cap.

With Pro + Tax, export it as a PDF and CSV: a line-by-line summary with totals per line, your vehicle and home-office calculations, and a full transaction appendix. It's the working paper your accountant wishes you showed up with — not a filed return, and not the official CRA form, which is why every export carries a review-with-your-accountant disclaimer.

Frequently Asked Questions

Is InvoiceFast's tax tracking free?

Your first 25 expenses and 25 trips are free, with no expiry. Pro + Tax ($19 CAD/month or $169.99 CAD/year) unlocks unlimited tracking, T2125 and mileage exports, and auto-tracking controls.

Does InvoiceFast file my taxes for me?

No. It generates a line-by-line T2125 summary (PDF and CSV) organized by CRA line numbers for you or your accountant to prepare your return from. It is not a filed return and not the official CRA form.

How does automatic mileage tracking work?

On iOS and Android, the app detects drive start and stop from motion and location signals, then logs date, times, endpoints and distance. You review and classify each trip, or set rules that classify them for you. Web supports manual logging only.

Do I have to connect my bank account?

No. Bank classification works from statement uploads — a CSV or PDF you download from your bank. InvoiceFast never connects to or has access to your bank account.

Can I use the tax features outside Canada?

Mileage tracking, trip logging, receipt scanning and expense tracking work anywhere. Bank classification and the T2125 summary are built around Canada's CRA categories, so they're most useful to Canadian filers.
