Your T2125, generated from your actual records

Every self-employed Canadian meets Form T2125 eventually — the Statement of Business or Professional Activities that turns a year of freelance income and expenses into the numbers on your tax return. For most people that meeting happens in April, over a shoebox of receipts and a half-finished spreadsheet. InvoiceFast takes a different approach: it keeps a running, line-mapped record of your expenses, trips, and home office costs all year, then generates a line-by-line T2125 summary — as PDF and CSV — that you or your accountant can complete the return from. This page explains exactly what gets generated, where the numbers come from, and what it costs.

This page is not tax advice. InvoiceFast organizes your business records; it does not provide tax, legal or accounting advice, and its T2125 summary is a draft for review — not a filed return. For advice on your specific situation, consult an accountant or CPA.

The April problem

The T2125 itself is not complicated — it is a categorization exercise. Part 4 of the form asks for your expenses grouped under specific CRA line numbers: advertising on line 8521, meals and entertainment on 8523, office expenses on 8810, professional fees on 8860, motor vehicle on 9281, and so on. The hard part is that most freelancers do the categorizing once a year, backwards, from bank statements and a folder of crumpled receipts — trying to remember in April whether a $63 charge from last June was a client lunch or groceries.

Software that only generates invoices doesn't help with any of that. Software that tracks expenses but uses its own made-up categories only half helps — someone still has to translate "Supplies & Gear" into a CRA line number. The useful version is a record that is born categorized, on the form's own lines, the day the expense happens.

What InvoiceFast actually generates

InvoiceFast produces a line-by-line T2125 summary report, exportable as a letter-size PDF and as a CSV. To be precise about what that is: it is a working paper mapped to the form's real line numbers — a draft your accountant (or you, in your tax software) completes the return from. It is not a filed return, and it is not the CRA's own form. The report contains:

Report SectionWhat It Contains
Business informationYour name, business details and the tax year covered
Expense totals by T2125 lineEvery verified expense grouped under its CRA line number — 8521 advertising through 9270 other — with transaction counts and totals
Motor vehicle (line 9281)Vehicle costs applied at your business-use percentage, calculated from your classified trips and odometer readings
Business-use-of-home (line 9945)Rent, utilities, insurance, maintenance and property tax prorated at your home-office percentage, with a note on the CRA's no-business-loss rule
GST/HST input tax creditsTotal GST/HST paid on business purchases, claimable ITCs weighted by business use, including the 50% cap on meals ITCs
Transaction appendixEvery verified transaction: date, vendor, T2125 line, business-use percentage and total

The CSV export mirrors the PDF in two sections — a summary by line and the full transaction detail — so the whole thing opens cleanly in Excel or Google Sheets if your accountant prefers to work there.

What it is not: InvoiceFast does not file your return, does not submit anything to the CRA, and the export is not the official form. Every export carries a disclaimer saying it is a draft for accountant review. That is deliberate — clean records are the product; filing belongs in your tax software or your accountant's hands.

Where the numbers come from

A summary is only as good as the records behind it. InvoiceFast fills the T2125 lines from four sources, all of which live in the same app you invoice from:

  • Scanned receipts. Snap a photo or upload a PDF and AI extracts the vendor, date, totals and GST/HST, then suggests the right T2125 line. You review and verify each one — only verified expenses reach the summary. See expense tracking and receipt scanning.
  • Bank statement imports. Upload a CSV or PDF statement (presets for RBC, TD, Scotiabank, BMO, CIBC and Tangerine) and AI classifies each row to a CRA line for your review.
  • Logged trips. Automatic trip detection on iOS and Android — or quick manual entries — feed the business-use percentage behind line 9281. See automatic mileage tracking.
  • Home office inputs. Enter your annual rent, utilities, insurance, maintenance and property tax once per year; the app applies your home-office percentage for line 9945.

Because everything passes through a review step, the appendix in your export is a record you can stand behind — each entry was confirmed by you, not silently auto-filed.

A live summary all year, not a scramble in April

The T2125 screen isn't only an export button. It shows your line-by-line totals on screen all year, updating as you verify expenses and classify trips, alongside an estimated income-tax savings figure based on federal and provincial brackets (always an estimate, always marked as one). You can switch between the current tax year and the three prior years at any time.

That changes the shape of tax season. Instead of reconstructing a year in one painful weekend, you glance at a running total in July and know roughly where you stand — and in April, the summary your accountant needs already exists.

Either way the result is a working paper — the return itself still gets completed and filed in tax software. The difference is how many evenings the working paper costs you.

Who it's for

InvoiceFast's T2125 summary is built for sole proprietors and freelancers who report business or professional income on Form T2125 with their personal T1 return — contractors, consultants, designers, tradespeople, gig workers and other self-employed Canadians. If you're incorporated, your corporation files a T2 return instead, and this summary isn't the right tool for that.

Frequently Asked Questions

Does InvoiceFast file my T2125 with the CRA?

No. InvoiceFast generates a line-mapped summary of your records; you or your accountant use it to complete the actual T2125 in your tax return. Nothing is submitted to the CRA from the app.

Is the export the official CRA T2125 form?

No — it's a working paper mapped to the form's line numbers, clearly marked as a draft for accountant review. Using the real line numbers just means each total transfers straight to the matching line on the form.

What exactly is in the export?

Expense totals grouped by T2125 line, a motor vehicle section (line 9281), a business-use-of-home section (line 9945), a GST/HST input tax credit summary with the 50% meals cap, and a full appendix of every verified transaction. Available as PDF and CSV.

Can it replace my T2125 Excel template?

For record-keeping, yes — and the CSV export means you still end up with a spreadsheet if you want one, with the categorizing already done. The return itself is still completed in tax software.

Is the T2125 summary free?

Viewing your summary on screen is free within the 25-expense / 25-trip allowance. Unlimited records and the PDF/CSV export come with Pro + Tax at $19/month or $169.99/year CAD.
