What Freelancers Must Include on Canadian Invoices

A valid Canadian freelance invoice must contain the following elements regardless of whether you are registered for GST/HST:

  • Your business address or mailing address
  • Client's name and address
  • Invoice number — unique identifier for each invoice (required for GST/HST invoices over $150)

  • Quantity and unit price for each line item
  • Subtotal before tax
  • Applicable taxes (GST, HST, or PST) shown separately
  • Total amount due

Do You Need to Charge GST/HST?

Place of supply rules: In most cases, the tax rate is based on where your client (the recipient) is located, not where you are based. If you are in Alberta but your client is in Ontario, you charge HST at 13%.

PST and QST

British Columbia, Manitoba, Saskatchewan, and Quebec have provincial taxes that are separate from GST. Freelancers providing services generally do not charge PST on labour, but rules vary. Quebec requires freelancers with over $30,000 in revenues to register for QST separately from GST.
